Machine Performance Center Policies and Procedures

Registration

There is an annual registration fee of $40.00 per swimmer.  Families with 3 or more swimmers may purchase a family registration for $110.  Payment must be made at the time of registration.

Please arrive on time for your class or lesson– Regardless of what time a swimmer arrives, lessons are scheduled every half hour.  The staff of Machine Swim School will do everything in their power to ensure all classes will start on time.  We ask for your assistance to make this happen.

Swimming Attire

Swimsuits – We strongly encourage all swimmers to wear a competitive suit.  While fashion suits are fun, they are not designed for lesson use.  They can hold up to 3 lbs. of water, making mastering the skills taught very difficult.

Goggles – It is strongly encouraged that all swimmers wear a pair of goggles during lessons.

Swim Caps – All swimmers with hair below their ears are strongly encouraged to  wear a swim cap.

Swim Diapers – All children under the age of 4 who have not been toilet trained for more than 6 months MUST wear an approved water diaper.  Disposable, store bought swim diapers are not permitted.  Please consider that all accidents will shut down the pool for a substantial amount of time.

Instructors

Instructors are subject to change for group swim lessons. While we do our best to keep the lessons consistent, we cannot guarantee that you will have the same instructor from lesson to lesson. You may request an instructor, but scheduling is contingent upon the availability of that instructor. Please note that it is beneficial to periodically have different instructors to enhance the learning process.

Pool Area / Waiting Rooms

At Machine Swim School we have monitors in the waiting area for parents to watch the swim lesson. We strongly recommend parents wait in the lobby.  Parents watching lessons on the pool deck distract the swimmers and instructors.

Group Swim Lesson Payment

Automatic Monthly Payment – All group swim classes are on auto pay. Classes are guaranteed once payment confirmed.  Once you are accepted to a program, you retain the class spot until you withdraw from the program or move to the next level.  Monthly payments are automatically charged on the 1st of the month. (ex: July 1st for the month of July)

Class Sizes
 –  Most group swim classes are limited to a maximum of 4 participants per instructor. Machine Swim School reserves the right to combine classes or move a child into a different lesson in an effort to better utilize our pools and staff.

Class Schedule –  Classes are on-going. There are no start/end dates associated with sessions, and swimmers can join at any time, subject to availability. Classes must be scheduled in consecutive weeks. Our class schedule is subject to change. Any class with a open spot may be signed up for and started the next available class time.  Parents may schedule up to a month prior to the swimmer’s start date.  (ex: registration for classes starting January 1st may be signed up for starting on December 1st.

Cancellations – When you register your child for classes you are reserving a slot for your child that is in high demand. By reserving this spot you are agreeing to pay for your reserved spot independent of your child’s attendance. It is your responsibility to make sure that your vacations, appointments, and other activities do not interfere with the classes for which you have enrolled.

Make Up Policy – Life happens and at Machine Swim School we understand this, we allow a maximum of 12 make up lessons per year. Canceling a lesson is simple, all you need to do is notify us at least 30 minutes prior to the start of your lesson and we will apply a credit for a make-up lesson to your account. Unfortunately, if you do not notify us of a cancelation prior to your class, we cannot apply a credit to your account.

How can I let you know I need to cancel?

We offer three ways to ensure you can let us know:

• Online Form that comes directly to our front desk.
• Call the front desk. If we miss your call during busy hours, please leave a voice mail and we will note on your account.
• Email us at info@machineswimschool.com. Please be sure to include your child’s name, class and time.

How does scheduling my make-up work?

First, as long as you are currently enrolled in Machine Swim School, your makeups never expire! Scheduling a make lesson is easy but does have a few limitations. Spots used for making ups are open spots in current classes. To ensure the best environment for your child and the students within the class we work personally to ensure that you are placed in a proper class for make-up. All make ups are subject to availability and may only be scheduled within a seven (7) day timeframe. What this means is you may call, email or submit the online form at any time but we will only look at the next seven (7) days classes as options. If we are not able to find something to fit your schedule,
you are welcome to keep checking until we find a class for you. To ensure we serve all our families to the best of our abilities we must limit make up classes to two (2) within one seven (7) day period. We will also have monthly open swims and family fun days that make up credits may be used at.

Can I be refunded for my missed class?

Unfortunately, we cannot pro-rate a fee for missed classes.

I know we will miss a class in a couple of weeks, when should I let you know?

We ask that you submit an early cancel a maximum of seven (7) days out. While letting us know earlier is great, we want to ensure that we are properly noting your account and that we don’t miss it.

Private/Semi-Private Swim Lessons Payment Options & Scheduling

Pay per lesson – A credit card must be put on hold in order to secure a lesson. Lessons may be paid for at the time of each lesson via credit card, check, or cash. However, we must have a credit card number on file in the instance that a swim lesson is missed. No Refunds.

Cancellations – For all private lessons, we require 24-hours notice to cancel or reschedule.  If less than 24-hours notice is given, you will be charged a cancellation fee of $40 for your absence. It is your responsibility to make sure that your vacations, appointments and other activities do not interfere with the lessons for which you have scheduled.

Packages – Packages may be purchased for private and semi-private swim lessons. Each time you arrive for a lesson, one credit is deducted from your package. It is your responsibility to make sure that your vacations, appointments and other activities do not interfere with lessons you have scheduled. Machine Aquatics Swim School will offer no tuition refunds for any reason.

Scheduling for all types of private lessons – All private lessons can be scheduled with our front desk staff. You may schedule your appointments when you wish, whether you have purchased one lesson or a package of lessons. If you would like to schedule your lessons at the same time week to week, please speak with an employee at the front desk about setting that up for you. Otherwise, we will not reserve that time for you on an ongoing basis.
